For our Client, one of the most prestigious company in their business line who is establishing its new Shared Service Center office in Warsaw, we are looking for:
Office & Administration Assistant
The scope of responsibilities will include:
- Responsible for providing administrative support to ensure efficient operation of the office as well as supporting managers and employees through a variety of tasks related to work and office organization and communication.
- Support BSC director, managers and employees in office related matters ensuring efficient operation of the office
- Greet visitors, scheduling meeting rooms, providing refreshments
- Manage the post and email, forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.
- Support the internal communication by answering questions; forwarding messages; confirming orders; keeping managers and employees informed of their requests’ status etc.
- Office Administration: book cabs and couriers and travel requirements, look after the filing, photocopying and binding, updating of contact lists
- Supplies control (stationery and refreshments), anticipating requirements, general office tidiness and the ensure maintenance of office equipment (photocopiers, faxes, etc).
- Liaise with office building administration and office suppliers
- Proven administration or assistant experience, preferably in SSC / BPO environment
- Excellent communication skills with fluent English written and spoken
- Excellent time/work management skills and ability to multi-task and prioritize work
- Strong organizational and planning skills
- Proactive approach and “can do” attitude
- Reliability and accuracy
- Proficiency in MS Office (Outlook, Word, PowerPoint, Excel)
- Good team player with a positive attitude
- Able to be an ambassador for The Company by being professional in outlook, attitude and appearance
